Applying the SyncBox
We have taken out the services of Sync.com to provide you with a comfortable and GDPR-compliant way to exchange many documents with us. For mutual ease, please be diligent and carefully follow the suggestions and recommendations below!
It is important for us to organize your documents in the Sync folders correctly. "Correctly" is relative and relates to the type of assignment you have given us. Even if you have not emailed us, we check the SyncBox at least on Mondays, Wednesdays, and Fridays.
Before uploading documents, please be so kind to use a scanner, and be it only the app TurboScan for Android and Mac. This will enable us to really read and not guess what it is all about. The comparison to the paper world would be: picture = crumpled paper, scan = "ironed" paper.
Give all file names a concise name! Concise is never "20180906_1125.jpg". How are we to tell what is inside the file, when all that we read is the date of scanning? For letters / correspondence, we would like to have following format [YYYY-MM-DD] three - four words on the contents. You need a more specific example? Sure, study the PDFs we send you. You might not be accustomed to this but once you embrace it, you will notice that it saves you from crazy scanning of files. The better we understand what you have sent us, the quicker and better we can serve you.
Corporate Clients for Immigration
If you are a corporate client with many persons to place in Germany, please add files to relevant person accordingly and for that person only! The topmost directory will be for us internally. The way to use the box for the individual candidate will be as described below for "individual clients". We will automatically add your employee to his directory upon assignment.
Individual Clients for Immigration
Here, we do not have much to organize. We only need the directories for "official correspondence" and "documents". The first directory will be for all letters to and from immigration authorities. The documents will come from you, correct?
Tax Consultation for Freelancers and Corporations
First, please sort them into different taxation years accordingly. The subdirectory for the tax year will hold also letters and official information relating to that year. If a tax document relates to more than one year, then we will upload to all relevant directories / years. Then, under each year, you will have the following folders
- "\" is for the official correspondence between us / you the tax office
- Bank statements, etc.
So, yes, you can find one and the same document in different tax years as it relates to different tax years. There will also be a folder called "To Client". The documents are saved here for your perusal. Once you collected them, please kindly remove them so that we know you have taken notice as such.
Tax Consultation for Employees and Similar
Since your issue is very simple, you only have a directory for each calendar year. You will find it. However, if you wish / insist to have further subdirectories, then go ahead and open them. By all means please make sure it will be inside the relevant tax year and bear a concise name.
